Maintenance & Calibration
Schedule recurring maintenance, log service history, and track equipment status.
Lab Belay tracks maintenance for each equipment item through recurring tasks and event logs. You can set up schedules, log service events, and use task notifications to stay ahead of deadlines.
Maintenance schedules
The recommended workflow for recurring maintenance (including calibration) is to create a Recurring Task linked to the equipment item. Lab Belay will automatically generate individual task instances on the configured schedule and notify the assigned team member. See Recurring Tasks for setup details.
There is no standalone date field for calibration deadlines on the equipment record itself — calibration schedules are managed entirely through the task system.
Logging service history
Every equipment detail page has an activity feed showing comments and system-generated events (task created, task completed, status changes). To log a service note, type it into the comment input pinned at the bottom of the page and submit.
The All Activity tab shows the full history — comments alongside automatic system events — while the Comments tab shows only the notes your team has added.
This builds a running service record for the equipment's lifetime — useful for warranty claims, audits, and tracking an instrument's history.
Equipment status
You can mark equipment with a status that reflects its current operational state:
| Status | Meaning |
|---|---|
| Available | In normal use |
| Maintenance | Temporarily out of service for maintenance |
| Out of Order | Not operational |
The status is visible on the equipment card in list views, making it easy to see at a glance which instruments are available.
